Reporting to the Director or Finance and Administration, the selected candidate would be responsible for contributing to the business order process function and maintaining financial reporting responsibilities. 

We are looking for a dynamic, self motivated professional who is smart, hard working organized and detail oriented who can also look at the big picture.

The Order Management position is responsible for ensuring the order accuracy of all orders from order processing through contract billing. The position requires the ability to understand contractual obligations and service level agreements. 

This position will work closely with and assists Sales with accuracy of paperwork. Also works closely with Service, Project Management, Operations, Aftermarket Support, and Billing. 



Duties

Key Responsibilities:

  • Manage all order verification and order entry aspects for customers. 
     
  • Work with Sales for order clarification; following the order requirements for processing of order. 
     
  • Upload spreadsheet for orders into required customer management systems. Requires experience handling and manipulating large spreadsheets. 
     
  • Track order to completion. Work closely with leasing companies and submit all leases for credit approval. 

  • Order equipment from vendor and create corresponding PO in ERP and create item record if new item. 
     
  • Contact customer for Network Survey and schedule technical team to preflight equipment for installation. Arrange delivery with trucking company. Schedule Tech install with customer. 
     
  • Effectively communicate with internal groups regarding orders and work to ensure a timely delivery of equipment. 
     
  • Participate in conference calls pertaining to customer installations. Document and respond to action items as necessary. 
     
  • Invoice order and send documents to leasing company.
     
  • Create and send special pricing documents to vendor.
     
  • Update monthly written business spreadsheet. 
     
  • Create contract record 
     
  • Bill Contracts – collect meter readings, create invoice, log invoice and prints on contract spreadsheet, input meters online for leasing company billing.
     
  • Coordinate all equipment moves/exchanges with Tech team, trucking company; update contract and customer records, bill customer. 
     
  • Schedule Tech team to audit for contract launch, input data for contract billing; prepare fleet worksheet for aftermarket support group. 
     
  • Process Service Requests received from customers for service in customer management system. 
     
  • Responsibility for creating and submitting service and supply tickets; tickets require coordination with Aftermarket Support and Tech Support groups. 
     
  • Responsible for tracking & fulfilling Order Management tasks within specified service level agreements. 
     
  • Provide support to internal groups regarding contract price changes and order inquiries. 
     
  • Provide timely and appropriate support to management as needed for reporting and ad-hoc analysis. Interface with the national service and delivery teams. 

The Order Management position requires the ability to work independently and to manage priorities and time effectively. In addition this individual will work with corporate finance regarding order installation and activation.
